Sales Support Executive

In our world that’s someone to provide the operational backbone for VCHRGD’s commercial team by managing quotes, orders, CRM records, partner queries, follow-up activity and sales reporting. This is a precision and reliability role focused on making sure commercial activity is organised, accurate and progressed without anything falling through the cracks.

Key Responsibilities

Quoting and order processing

  • Turn partner, installer, wholesaler and customer requests into accurate quotes and orders using agreed pricing, product and approval processes.

  • Check product codes, quantities, accessories, discounts, VAT treatment, delivery charges, lead times, payment terms and customer details before issue.

  • Convert accepted quotes into orders and ensure the correct information is passed to operations, finance, dispatch and customer support.

  • Track quotes and orders through to fulfilment, updating internal systems and relevant stakeholders as status changes.

  • Challenge unclear, incomplete or inconsistent requests before they become fulfilment, billing or customer-service issues.

Follow-up and opportunity support

  • Proactively follow up outstanding quotes, leads, expected orders and missing information in a professional and helpful way.

  • Support the Commercial Director and Partnerships Manager by preparing call notes, action lists, partner information and follow-up materials.

  • Help ensure partner and customer enquiries are acknowledged quickly and moved to the right next step.

  • Send product information, price lists, forms, onboarding documents or internal guidance where appropriate.

  • Highlight opportunities that need commercial attention, urgent response or senior input.

CRM administration and data quality

  • Keep CRM contacts, organisations, deals, stages, values, notes, owners and close dates accurate and up to date.

  • Maintain clean records for partner accounts, prospects, quotes, orders, meeting notes and next actions.

  • Identify missing data, duplicate records, stale opportunities or inconsistent deal stages and correct them promptly.

  • Create simple CRM views, task lists or reminders that support better follow-up and forecasting.

  • Ensure the leadership team can rely on CRM data without having to rebuild it manually.

Partner and customer query handling

  • Act as a responsive first point of contact for installers, wholesalers, partners and customers on order status, pricing, documents and account queries.

  • Answer routine commercial and administrative questions clearly and escalate technical, contractual or service-critical issues to the correct owner.

  • Maintain a professional, friendly and calm tone across telephone, email and internal messages.

  • Keep customers and partners updated when queries depend on input from operations, dispatch, finance or technical support.

  • Record key decisions, promises and follow-up actions so that colleagues can see what has been agreed.

Sales reporting and commercial coordination

  • Prepare regular pipeline, quote, order, conversion and partner-performance reports for the Commercial Director.

  • Summarise trends, bottlenecks and gaps in a way that helps the commercial team act quickly.

  • Liaise with operations and customer support to resolve delivery issues, order errors, returns, replacements or fulfilment questions.

  • Support partner onboarding by collecting required details, maintaining account records and coordinating launch administration.

  • Track commercial actions from internal meetings and ensure agreed follow-ups are completed.

Process improvement and knowledge capture

  • Document the repeatable sales support process so it can be followed consistently and handed to future team members.

  • Spot repeated friction points in quoting, order capture, CRM use, partner communication or fulfilment handover and suggest practical fixes.

  • Maintain simple templates for quotes, follow-up emails, partner onboarding, FAQ responses and internal handover notes.

  • Share recurring customer, installer or partner questions with the relevant commercial, marketing or technical owner.

  • Support a consistent and reliable commercial experience as VCHRGD scales.

The type of person we’re looking for…

Essential qualifications and experience

  • One to three years’ experience in a sales support, sales operations, customer-facing administration, account support or order-processing role.

  • Strong attention to detail and the confidence to check information carefully before quotes, orders or customer updates are issued.

  • Confident, friendly written and verbal communication style with customers, partners, suppliers and colleagues.

  • Working knowledge of a CRM system such as HubSpot, Salesforce, Pipedrive or similar, or strong confidence learning one quickly.

  • Good organisation and prioritisation skills, with the ability to manage several quotes, queries and follow-up actions at once.

  • Competence using email, spreadsheets, shared documents and standard office software.

  • Comfort working with pricing, product information, order details, customer records and simple commercial reporting.

  • Self-starter attitude with the ability to manage workload without constant supervision.

  • Ability to work closely with commercial, operations, finance, dispatch and customer-support colleagues.

  • Commutable to Bourne End / Maidenhead and able to work from the office three days per week.

Desirable experience

  • Experience in EV charging, energy, renewables, automotive, electrical products, hardware, infrastructure, wholesale or distribution.

  • Experience supporting a sales team in a high-growth, owner-managed or scale-up environment.

  • Experience preparing quotes, processing orders, checking pricing, handling delivery queries or coordinating fulfilment.

  • Experience working with installers, wholesalers, channel partners, retailers or trade customers.

  • Basic understanding of product catalogues, SKUs, accessories, stock availability, lead times and dispatch processes.

  • Experience creating simple reports, dashboards or spreadsheet trackers for a commercial team.

  • Interest in EV charging, smart energy, sustainability or connected technology.

  • Experience documenting processes, templates, handover notes or team operating procedures.

Working Arrangements

The role is intended for someone commutable to Bourne End / Maidenhead, with three days per week in the office and two days remote. Office attendance may vary during busy periods, onboarding activity or where close coordination with operations is required.

The role reports to the Commercial Director and works closely with the Partnerships Manager, operations, finance, dispatch, customer support and technical colleagues. Base salary is to be confirmed separately.
